We build AI systems. We tested them on our own NGOs first.

Run your NGO like a team twice your size

Optilinked was founded by Glenn Michael and Anders Joelsson — who built Autism Parents United and Autism Dad United Sweden with under 5 volunteers each. We used AI to replace the hires we couldn’t afford — so our time went back to the families we started this for, not the admin. Now we help other NGOs do the same.

Our story

We built this system for ourselves first

Optilinked AI NGO support system didn’t start as a business idea. It started as a survival strategy. Running two global NGOs with under 5 volunteers and no budget for staff, we had to find a way to do the work of a full team — without hiring one.

This is how we did it, what it saved us, and why we now build the same system for other NGOs.

Built and runs a global NGO

Supporting autism families — coordinating content, outreach, podcasts, donor, and educational material with a tiny volunteer team.

Glenn Michael
Founder, Autism Parents United

Built and runs a Swedish NGO

For autism fathers — managing campaigns, social media, donor updates and community outreach with a small volunteer base.

Anders Joelsson
Founder, Autism Dad United Sweden
Built from real NGO operations and delivered as practical AI-supported systems
Before
Admin was consuming everything

Reports, meeting notes, donor emails — all written from scratch every time. Hours every week producing nothing new.

February 2
Before
Content was inconsistent or missing

Social media, newsletters, impact stories — all competing for the same 5 people's stretched time. During busy periods, content simply stopped.

January 31
Before
Campaigns had no system behind them

Fundraising happened reactively. No structure, no outreach sequence, no follow-up. Every campaign started from zero.

The turning point
We needed 2–3 extra people.

We couldn't hire them at $1,000–$2,000 each per month, that was $2,000–$6,000 we didn't have. So we built an AI system instead.

After
The system replaced the hires — permanently

AI workflows, prompt libraries, content systems, and campaign structures in one connected workspace. The team didn't grow. The output did.

“We weren’t replacing people we had. We were replacing people we needed but couldn’t afford. The AI system filled that gap — and kept filling it as the organisation grew.”
— Glenn Michael & Anders Joelsson

What the system replaced

Would have hired

Content editor
$1,000–$2,000/mo

Would have hired

Outreach coordinator
$1,000–$2,000/mo

Possibly needed

Education creator
$1,000–$2,000/mo

Monthly staffing cost avoided

By building an AI system instead of hiring, Autism Parents United avoided the ongoing cost of 2–3 part-time staff — permanently.

$2,000–$6,000/mo

$24,000–$72,000 per year

What actually improved

Content became consistent

Social posts, newsletters and impact stories go out regularly
even during the busiest periods.

Donor communication stabilised

Updates went from ad hoc to structured. Donors heard from us consistently for the first time.

Campaigns had structure

Clear timeline, outreach sequence, and follow-up flow
not last minute and not from scratch.

Admin: hours to minutes

Reports, meeting notes, volunteer updates
all handled by AI prompts built for our context.

The problem we solve

Most NGOs are trying to do the work of a much larger team

Whether you have 3 volunteers or 30 staff, the challenge is the same — too much to do, not enough people, and no budget to fix it by hiring.

Admin eats mission time

Reports, updates, meeting notes — written from scratch by people who should be focused on the mission.

Usual fix:
part-time admin $800–$1,500/mo

Our fix: AI workflow system

Content stops and starts

Social media and donor newsletters go quiet when the team is busy. Inconsistency costs donor trust.

Usual fix:
freelance comms $1,500–$3,000/mo

Our fix: AI content engine

Campaigns without system

Fundraising is reactive and starts from zero each time. No structure, no outreach sequence.

Usual fix:
fundraising agency $3,000–$10,000/mo

Our fix: Campaign accelerator

We work with NGOs at every stage

Just starting out

1–5 volunteers

Building something important with almost no resources. We give you systems to punch above your weight.

Instead of a part-time admin
$800–$1,500/mo

Running programs

5–20 staff

Established but stretched. Your team is doing the work of twice the people. We replace the hires you can’t justify yet.

Instead of a freelance comms person $1,500–$3,000/mo

Scaling impact

20+ staff

Running campaigns and needing real systems — not tools bolted together and not permanent agency dependency.

Instead of hire an agency
$3,000–$10,000/mo
